At the start of the year, you feel relaxed and rejuvenated after a break/holiday, ready to take on the year and put your best foot forward.

You might write a list of New Year's resolutions, create a 2026 moodboard, or take a completely different approach to setting goals and expectations for yourself.

One thing that remains the same is that everyone wants to improve on the previous year and grow.

If you already feel like you "failed" in this aspect or let yourself down, you don't have to wait until the next New Year.

You can reset and start again whenever, and it is still the start of the year, so hopefully you aren't too hard on yourself.

How to use a planner effectively

1. Set Clear Goals for the Day: Start each morning by defining your priorities. Write down your top three goals for the day that aren't just routine tasks but meaningful achievements that will move you closer to bigger objectives.

Research shows that people who write down their goals are 42% more likely to achieve them.

2. Plan the day in time blocks: This is a game-changing strategy that helps prevent the day from just running away from you. Divide your schedule into specific chunks of time, dedicated to tasks or types of work.

This structure helps maintain focus and reduces mental fatigue.

E.g., 9 to 10 am is for checking and replying to emails; 11 am to 12 pm is for important, time-sensitive tasks; 12 to 1 pm is for lunch, etc.

3. Use a Visual System to Easily Identify Important Tasks: Create a simple system that highlights your most important or critical tasks. This could be using stars, numbers or a specific symbol.

Don't overcomplicate it and keep it simple so you can quickly identify the tasks and how high they are on your list of priorities.

4. Use Colour-Coding for Organisation: Assign different colours to the different parts of your life. E.g. blue for work, red for personal appointments, green for family, etc.

This will help you have a good overview of how much time you are also dedicating to each and where you might need more balance.

5. Add Personal Task: Your planner doesn't have to be all work and no play. Make space in your planner for activities that bring joy and support your well-being, such as hobbies or self-care.

By giving these activities dedicated space in your to-do lists, you're more likely to do them and develop positive habits.

6. Track Your Progress with Checkboxes: There's something deeply satisfying about checking off completed tasks on a to-do list. Add checkboxes or circles beside each item that will help monitor progress.

This will also provide motivation as you see your accomplishments add up throughout the day.

7. Schedule Short Breaks: There is some truth to the saying "work smarter, not harder". Productivity isn't all about working all the time. It's okay, and you're encouraged to take a small break, like a walk or do some stretches in between your work.

Include 5-15 minute breaks in your schedule between major tasks to refresh your mind and maintain energy throughout the day.

8. Reserve Space for Notes and Reflections: As with self-care and hobbies, dedicate extra space in your daily planning ideas, notes, or write down whatever extra thing pops into your mind.

Planners often include dedicated note sections, but you can also use sticky notes for additional flexibility.

9: Use Your Planner Every Day: Consistency is key! This is how you make the system work for you, by having your planner be easily accessible and checking it first thing in the morning.

This ensures nothing falls through the cracks.

10. Stay Flexible and Adjust Daily Plans as Needed: Structure is important, but no matter how much you plan, life just happens. Leave some extra space in your schedule for unexpected tasks or opportunities.

When things don't go as planned, before getting stressed and overwhelmed. Instead, use your planner to quickly reorganise priorities and adjust timelines.
